AI reminder and check-in calls for Singapore physiotherapy clinics
Physio is a course, not a visit, and most of what you lose is lost in the middle of it. Rekindle makes the call when someone stops turning up, and never gives clinical advice.
How do AI calls work for a physiotherapy clinic?
A voice agent confirms appointments booked for the next day, captures reschedule requests, and calls patients who have dropped out partway through a treatment plan to ask whether they would like to continue. Every call is recorded with a structured outcome. Anything about pain, an exercise, a diagnosis or whether someone should keep going is a restricted topic and goes to the physiotherapist.
The mid-course check-in is a call about a treatment plan the patient is already on, which is the cleanest lane. Calling someone who finished a course two years ago is a different conversation with a different consent basis.
What physiotherapy clinics spend the phone on today
-
Patients who feel better after session three and are never chased
-
A course of six booked, four attended, nobody called
-
Reception on the phone while a patient waits on the plinth
-
Late cancellations that leave a treatment slot empty
What your version of this call would do
A blueprint, not a finished script. In production every flow is designed with you: objective, approved wording, voice, outcomes, escalation and restricted topics, then tested before it calls anyone real.
- Context:
- Outbound · mid-course check-in · patients partway through a plan who have not rebooked
- Voice:
- Warm, unhurried, not pushy
“Hi, is this [name]? A quick courtesy call on behalf of [Clinic]. Our records show you have a few sessions left on your plan and we have not seen you for a couple of weeks. Would you like to book the next one?”
| The caller says… | The agent responds | Outcome recorded |
|---|---|---|
| "Yes, let me book." | Good to hear. I have Tuesday at 4, or Saturday morning at 9.30. Which suits you? | Booked |
| "I am feeling much better already." | That is good to hear. Whether to finish the plan is really one for your physiotherapist, so let me have the clinic give you a quick call and you can decide together. | Escalated |
| "The pain has come back, is that normal?" | I am not able to advise on that, and I would not want to guess. I will have someone from the clinic call you about it today. | Escalated |
| "Not right now, I am travelling." | No problem at all. Shall I check back in a few weeks? | Callback later |
| "Please stop calling." | Of course. You will not get these again. All the best. | Opt-out |
What this agent will never do
No advice on pain, symptoms, exercises, progression, or whether a patient should continue or stop treatment. Anything clinical, including someone saying they feel worse, goes to the physiotherapist the same day.
Service call to an existing customer
A reminder or confirmation about something the person already booked, or is an active customer of. The PDPC lists service calls and reminders about services the individual has bought among the Do Not Call exceptions: the cleanest place to start.
Questions physiotherapy clinics ask
Will it tell a patient to keep coming?
No. Whether a course should continue is a clinical judgement and it is a restricted topic. The agent offers to book the next session and hands anything about progress, pain or suitability to your team. A workflow that talks patients into more sessions is not one we would build.
Is a mid-course check-in a marketing call?
A call about a treatment plan the patient has already started generally reads as a service call rather than marketing, but the purpose and the wording decide it. A call to someone who finished a course long ago sits closer to reactivation and needs a consent basis. Your clinic assesses its own position and we build the workflow to match.
Can it handle the confirmation calls as well?
Yes, and most clinics start there because it is the simplest flow and the fastest to show a result. Confirmations for tomorrow, reschedule requests captured in the same call, and a list at the end of the day showing which slots came free.
